Email sequences let you automate a series of timed outreach emails to a group of prospects. Instead of manually following up with each contact, you define the email content and schedule once, then Clodura handles the delivery, tracks opens and replies, and automatically stops sending to contacts who reply, bounce, or unsubscribe. Use sequences when you need structured, repeatable multi-touch outreach at scale—whether you’re running cold outreach, product demos, or nurture campaigns.

Sequence Management Overview

Navigate to Outreach → Automated Sequence in the navbar to open the Sequence Management page. If you haven’t created any sequences yet, you’ll see an empty state screen. Once you have sequences running, the page gives you a comprehensive command center with the following capabilities:

Step 1: Create a Sequence

Open the creation dialog

Go to the Outreach tab and select Automated Sequence from the navbar. Click the Create Sequence button to open the sequence configuration window.

Fill in sequence details

Provide the following information:
  • Name — A descriptive name that conveys the sequence’s purpose (e.g., “Q3 Cold Outreach – SaaS CTOs”).
  • Tags — Click the Tags field and add tags to keep your sequences organized and filterable.
  • Permitted Days — Select which days of the week the sequence is allowed to send emails.
  • Start Date and Time — Specify when the first phase should begin. This anchors all send-delay calculations.

Confirm and proceed

After filling in the details, choose one of three actions:
  • Reset — Clears all entered values so you can start over.
  • Close — Exits the creation process without saving.
  • Next — Saves the sequence configuration and moves to Phase setup.

Step 2: Add Email Phases

Each phase represents one email in the sequence. You can add as many phases as you need, and each phase runs on its own delay schedule.

Adding a Phase

Click Add Email Phase

Inside your new sequence, click the Add Email Phase button to start building your first email.

Set the send delay

Under Send Email In, choose the delay in days, hours, or minutes from the sequence start time.
The sequence start date and time determine when each phase fires. For example, if the sequence starts on 22 Nov 2025 at 6:00 PM and you set a 2-hour delay, the first email sends at 8:00 PM on 22 Nov 2025.
Click Add to proceed to the email content editor.

Compose your email content

The editor opens with several options to build your message:
  • AI Assistance — Generate suggested content using Clodura’s built-in AI writer. Edit the draft before saving.
  • Use Saved Template — Load a pre-built template from the dropdown menu.
  • Import HTML — Import an existing HTML file to use as the email body.
Write your subject line and body, then use the options below to finalize the phase.

Email Phase Settings

Mapwords

Insert dynamic placeholders such as FirstName, LastName, CompanyName, and Title in both the subject and body. You can configure mapwords independently for each field.

Save as Template

Save the current email content as a reusable template for future sequences or Qwik Mail.

Email Me When Read

Check this box to receive a real-time notification the moment a recipient opens this email.

Add Unsubscribe Link

Check this box to automatically append a compliant unsubscribe link at the bottom of every email in this phase.

Include Original Text

When enabled, the email from the previous phase is appended to this phase’s email. For example, enabling this on Phase 2 appends the Phase 1 email content to the bottom.

CC / BCC

Add additional recipients in the CC (Carbon Copy) or BCC (Blind Carbon Copy) fields. BCC recipients remain invisible to other recipients.

Preview and Test

Before activating a phase, verify how the email looks and behaves:
  • Preview — Renders the email exactly as recipients will see it, with mapwords resolved to their actual values.
  • Test Email — Sends a live test email to your account or to any other address you specify.

Manage Phase and Sequence Status

Use the toggle controls to manage whether a sequence or individual phase is active:

You can also delete any phase that was incorrectly drafted.

Step 3: Add Contacts to a Sequence

A sequence needs contacts before it can send. Navigate to the Contacts tab inside the sequence and click Add to choose how to import contacts.

Managing Contacts in a Sequence

The Contacts tab gives you granular control over individual contacts throughout the sequence lifecycle.

Filtering and Selecting

  • Show Filters — Apply filters to narrow down the contact list by various criteria.
  • Search Recipients — Search for a specific contact by name in the search box.
  • Status Filter — Filter by Active, Paused, Finished, or Skipped.
  • Phase Filter — Focus on contacts currently in a specific phase (Phase 1, Phase 2, etc.).
  • Stage Filter — Filter or view contacts by their assigned stage.
You can display 25, 50, or 100 contacts per page using the control at the bottom right of the table.

Bulk Actions

Select contacts using the checkboxes to apply bulk operations:

Set Stage

Assign a funnel stage to selected contacts in bulk. Available stages: Cold, Approaching, Replied, Interested, Not Interested, Unresponsive, Do Not Contact, Bad Data.

Mark as Finished

Manually designate contacts as finished. Finished contacts no longer receive subsequent phases. The system also auto-marks contacts as Finished when they reply, unsubscribe, or bounce.

Pause Contact

Temporarily suspend an individual contact’s progress in the sequence.

Resume Contact

Resume progress for a previously paused contact. This does not affect contacts with a Finished status.

Remove

Permanently remove a contact from the sequence. Removed contacts are no longer part of the sequence.

Export

Export the contact list to CSV for use outside Clodura.
You can also send a one-off email to any contact in the sequence by clicking QwikMail from the Contacts tab—even while the sequence is running.

Managing the Emails Tab

The Emails tab shows every scheduled or sent email across all phases. Use it to fine-tune delivery timing, handle failures, and analyze results.

Actions Available

Reschedule

Select emails and click Reschedule to move delivery to the next available day or a custom date and time.

Skip

Skip selected emails, bypassing the current phase and moving those contacts to the next one. You can also skip all subsequent phases for a contact.

Retry Undelivered

Retry sending emails that failed to deliver. Schedule the retry for the next available day or a custom time.

Delete

Remove an email from the sequence. The associated contact is automatically marked as Finished in the Contacts tab.

Mark Interested

Tag selected contacts as Interested directly from the Emails tab.

Export

Export emails with statistics to CSV, export link tracking counts, or push emails to your CRM.
You can sort the table by Read count or Link Click count in ascending or descending order, and filter by Status or Schedule column values.

Overview and Report Tabs

Overview Tab

The Overview tab displays key statistics for your sequence in real time, including email progress, engagement rates, completion percentages, and testing options for inbox placement.

Report Tab

The Report tab is your deep-dive analytics center. It provides:
  • Key metrics — Sent, Read, Replied, and Link Click rates.
  • Engagement trends — Open and reply rate trends over time.
  • Negative signals — Bounce and unsubscribe counts to keep your list healthy.
  • Audience insights — Breakdowns by contact location, seniority, and industry so you can see which segments respond best.
  • Top contacts and companies — Open rate, reply rate, and link click rate for your highest-engagement contacts and companies.
Data is presented in both graphical and tabular formats for comprehensive analysis.
From the main Sequence Management dashboard, click Show Contacts to aggregate and export performance data—including opens, clicks, bounces, and more—across multiple sequences simultaneously.

Frequently Asked Questions

Phase 2 automatically includes all contacts from Phase 1, except those who have bounced, unsubscribed, or replied. When scheduling Phase 2, you’ll see exactly which contacts are active and eligible.
Clodura does not impose a sending limit. The limit you experience is determined entirely by the daily sending limit configured in your email server or domain settings. You can set your daily limit in Settings → Email Setup → Daily email sending limit.
No. Once you mark a contact as Not Interested, Clodura will not send the next scheduled email to that contact.
Yes. Clodura does not actively prevent contacts from being enrolled in multiple sequences, as some users intentionally do this for different outreach tracks. You will not receive a duplicate warning when adding a contact to a second sequence.
The Finished status cannot be manually reversed. To re-engage a finished contact, enroll them in a new sequence. Note that if a new phase is added after a contact finishes, the status may transition as new phases become active.
The new time zone applies to all contacts that have not yet been scheduled. Contacts that are already scheduled retain the time zone that was in effect when they were scheduled. Make sure your machine’s time zone is aligned accordingly.
From the Sequence Management page, click Show Contacts, apply any desired filters, and then export the filtered data. This gives you opens, clicks, bounces, and more across all selected sequences in a single export.
If you see extra whitespace between paragraphs in the editor but not in the preview, use the backspace key to merge the next paragraph to the end of the first, then press Shift+Enter to create a soft line break. Save and test again to verify the spacing.
